Statutory Compliance

  • Corporate tax and other company tax compliance.
  • Employee inhabitant tax and labour tax payments, and refund applications.
  • Social and Health insurance applications
  • Bank of Japan reporting
  • Consumption tax and corporate tax return application
  • Labour insurance reporting
  • Japan FSA Compliance, including assisting with month-end and year-end closing activities
  • Facilitate General Ledger document routing flow
  • Japan MOJ compliance in ensuring travel insurance sales license validity
  • Monthly travel insurance (ancillary) sales reporting and filing.
  • Communicate with various authorities

Government, Airport Operators, and NTO Incentive Management

  • Collect, compile and apply for Government incentives where qualified.
  • Same for Airport Operators and National Tourism Organizations.
  • Cargo incentive applications

Regulatory Assistance

  • Seasonal Schedule Application to JCAB
  • Codeshare applications and revisions to JCAB
  • Fare Filing application to JCAB
  • Aircraft registrations with JCAB
  • Assisting security officer in conducting JCAB’s security trainings
  • MEL Filing

Finance

  • Issue invoices for group and ad hoc travel agent bookings
  • Petty Cash Float
  • Administering the Duty travel claim form
  • Vendors payment process flow (including document workflow routing and Electronic Banking Key In) and remittance of surplus funds to Singapore
  • Verify all staff claims before submission to head office 
  • Group Deposit monitoring and facilitation
  • Follow up on outstanding debts due from travel agents
  • Facilitate Accounts Receivable document routing flow
  • Bank Guarantee and Ticketing Cap management
  • ADM/ACM/RAN issuance request and management
  • Reimbursement form completion for General Manager, Japan

Internal Controls

  • Communication with Scoot HQ Finance and assist on all finance-related matters on arising basis
  • Ensure internal controls are in place
  • Guide local Japan staff members on Finance and Administration related queries

Administration

  • Procure and manage the daily office supplies and equipment
  • Keep communication with related governmental departments, airport operators, and financial institutions and submit monthly and annual reports as required.
  • Record and update Japan office contracts list and organization chart monthly
  • Translation assistance on company services, assets, and activities
  • Value Alliance local activity liaison
  • Station Audit preparation and attendance
  • Company bulletin distribution
  • Sales collateral planning and procurement
  • Language support to HQ on Delays and Diversions
  • Embassy liaison
  • Domestic Duty Travel assessment and endorsement to General Manager, Japan
  • Consumer event assistance in manning and execution
  • Sponsorship and complimentary ticket requests to HQ

 Requirements

  • A Bachelor's Degree in Finance or related field preferred
  • Excellent project management and prioritization skills with an ability to multi-task on multiple projects and self-manage in an environment of accountability for results
  • Bilingual at least in Japanese and English as candidate will be based in Tokyo, Japan for this role
  • Legal status to live/work in Japan
  • Familiarity with Microsoft PowerPoint, Word, Excel, and Outlook
